Delivery and operations

A practical software handover and maintenance checklist

A working demonstration is only one part of a release. A useful handover gives the receiving team the access, instructions, and context it needs to operate and update the product.

Confirm account and code ownership

Inventory repositories, domains, hosting, app stores, databases, and paid integrations. Assign an owner for each and verify that the receiving organization can access them. Transfer credentials through an approved secure method, not inside a general handover document.

Document a reproducible deployment

Record the supported runtime, build steps, configuration names, and release process. Include how to roll back. Ask someone other than the original implementer to follow the instructions in a safe environment; unexplained manual steps become visible quickly.

Test recovery, not just backup creation

Document what is backed up, how frequently, and how a restore is performed. Agree on the amount of data loss and downtime the organization can tolerate. Use a non-production environment to check the recovery process before relying on it.

Make dependencies and renewals visible

List libraries, external APIs, service plans, certificates, and renewal dates where relevant. Identify who reviews security updates and compatibility changes. A dependency inventory is more useful when there is an owner and a regular review process.

Define support and incident handling

Agree on how issues are reported, how urgency is assessed, and who can authorize production changes. Distinguish defects, maintenance, and new features in the support agreement. Do not assume a launch date creates an ongoing service commitment.

Accept the handover with evidence

Use a checklist that includes access verification, deployment, recovery, documentation, and known limitations. Record unresolved items and their owners. Keep the final acceptance tied to the agreed scope rather than an informal statement that everything looks fine.
